Richmond Sports Conditioning (RSC) Terms & Conditions
1. Contract & Services
- Agreement: These terms form a contract between you (the "client") and Richmond Sports Conditioning (RSC). By agreeing, you confirm that all information provided is correct.
- Service: RSC provides personal training to individuals or small groups at an agreed location, date, and time.
2. Payments, Pricing & Expiration
- Methods: Sessions must be paid in full online via Stripe or PayPal. No cash or cheque payments are accepted, and PTs cannot accept direct payment.
- Session Blocks:
○ Purchases of blocks of 4 sessions have an expiry duration of 8 weeks from the date of purchase.
○ Purchases of blocks of 10 sessions have an expiry duration of 14 weeks from the date of purchase.
○ Purchases of blocks of 20 sessions have an expiry duration of 26 weeks from the date of purchase.
- Non-Transferability: All session blocks are strictly non-refundable and non-transferable to another individual.
- Booking Continuity: To maintain the consistency of their regular weekly time slot with the same trainer, clients must purchase and confirm a new session block within 7 days of completing the final session of their previous block. Failure to confirm a new block within this timeframe will result in the release of the recurring time slot.
- Premium Scheduling: Sessions booked at off-peak hours will incur the following price increases:
○ 6:00 AM & 8:00 PM starts: 25% price increase.
○ 5:00 AM & 9:00 PM starts: 50% price increase.
3. Cancellations & Lateness
- Cancellation Policy: Cancellations made with less than 24 hours’ notice will be charged in full and the session will be lost.
- Rescheduling: Changes made with more than 24 hours’ notice will be rescheduled without charge.
- Lateness:
○ Client: If you are late, the session will end at the scheduled time and be charged at the full price.
○ PT: If the Personal Trainer is late, they must arrange to make up the lost time.
- Termination: Regular short-notice cancellations or consecutive cancellations exceeding 3 weeks (without valid illness) may result in contract termination.
- Medical Suspension: For cancellations due to illness or injury exceeding one week, the client must provide a doctor’s note or medical evidence to pause their session block expiry or avoid termination.
4. Health, Safety & Resources
- Medical Screening: A 'Par Q' and 'Informed Consent' form must be completed in the 'medical screening' section of the website prior to the first session.
- Equipment: PTs provide their own resources. Recommendations for client-purchased equipment are optional and at the client’s own risk.
- PT Vetting: All PTs undergo DBS checks and possess the legal right to work in the UK.
- Replacements: If you are unhappy with a PT, RSC will attempt to offer a replacement within 14 days. PTs must give 2 weeks' notice to terminate an agreement, upon which RSC will find a replacement.
5. Liability, Privacy & Media
- Liability: RSC is not liable for fitness results, personal injury, or loss of personal possessions. Individual PTs carry their own public liability insurance.
- Privacy: RSC and its PTs will not sell or distribute client information to third parties.
- Media Consent: By accepting these terms, you consent to the use of images/video for marketing purposes.
